Getting started guide

Step 1. Choose the view that works best for you

You can visualize your tasks and projects with the Calendar and Timeline views:

  • Day
  • Week
  • Month
  • Gantt chart
  • Member lanes
  • Board lanes
  • List lanes

To choose your preferred view, open the menu in the middle of the Planyway navigation bar.
You can select different views on each board depending on your projects and goals.

Step 2. Organize your backlog

A board is made of lists, and all your cards are divided into lists. You can define lists for different projects, project stages, types of tasks, business areas, team members, or clients — whatever you want.

Step 3. Add cards

There are several ways to add a new card to Planyway:

  • Add cards to a task list. Then, drag and drop tasks onto a calendar or a timeline to set dates.

Tip: Assign tasks to team members by dragging and dropping them to the appropriate member lanes on a timeline. You can also add an assignee in the Member section of the card editor.
  • Click anywhere on a calendar or a timeline.

To reschedule a card, drag and drop it to the new time or team member. If a card needs to take up more time, stretch it to the left or right by clicking and dragging the edges.

Step 4. Color-code cards with labels

Think of labels as ways to group cards by type, stage or status. You can add a variety of card categories with labels to fit all your needs. With a color-coded timeline or calendar, you can quickly identify the cards you’re looking for.

Step 5. Add checklists to cards

Add checklists by clicking the checklist icon in the upper-right corner of Planyway’s card editor. You can also schedule and assign checklist items to your team members.

After adding dates to checklist items, the items will appear in your Planyway calendar as separate cards.

Step 6. Complete cards

There’s nothing quite like crossing off a task when it’s finished! To do so, right-click a card and choose Mark as complete from the context menu. You can also use the Mark as complete button in the upper-left corner of the card editor.

Step 7. Archive completed cards

To archive a completed card, right-click it and choose Archive. You can also hover your mouse over a card and press the C key to archive it with a keyboard shortcut.

Tip: Archived cards will remain archived indefinitely and disappear from the timeline. If you need to view archived cards, you can show them by choosing the option in the View Settings menu View Settings.

Synchronization with external calendars

Syncing with Google Calendar

You can sync Planyway with Google Calendar, so that all the changes you make in Planyway will be reflected in the connected Google Calendar and vice versa.

  1. Click the Sync with Google toggle in the sidebar.

  2. When prompted, sign into your Google account.
  3. Choose the sync options you prefer.
  4. A new calendar with your board’s name will be created in your Google Calendar.

Tip: Each board has its own Google Calendar sync settings. To sync another board, turn it on and repeat the above actions.

Importing calendars by URL

  1. Open your Outlook, Apple, or other calendar you want to import to Planyway.
  2. Copy the calendar’s export URL. If you don’t know how to do this, check the help for your calendar app.
  3. In Planyway, click Add Calendars in the sidebar.
  4. Сlick Calendar by URL.

  5. Paste the export URL you copied in step 2.
  6. Changes to your external calendar will automatically appear in Planyway. Note that in this case, you’ll be able to view tasks from your external calendar in Planyway, but you won’t be able to edit them from Planyway.

Multi-board view

With a multi-board view, you can track tasks from several boards on one timeline.

Member Lanes view

Use Member Lanes to manage who is working on what and when. Choose the Member Lanes view to plan and track your team’s schedule and workload. If you add multiple boards to Planyway, you’ll see all the tasks from all the boards on one timeline. A color-coded icon shows which board each task belongs to.

You can visualize multiple boards on a timeline individually with the Board Lanes view. Here is an example with two boards. The first one shows all of the marketing team’s tasks, while the second shows the tasks that belong to the Growth team:

List Lanes view

Use list lanes to get an overview of your initiatives divided by lists on the Timeline.

Milestones

Milestones will help you to set and highlight key deadlines. Click the View Settings icon to open the View Settings. Then, choose Milestones to add a milestone lane above all your team members or boards.

After that, click a space in a milestone lane where you want to add a deadline.

Once you’ve created a milestone, you can work with it as if it were a regular card: you can give it a name, assign it to team members, set a time for it, and mark it as complete.

Adding team members to your board

You can invite your team members to Planyway (when using the Planyway web app). Click the circled + icon Planyway Getting Started Add Icon next to Members in the sidebar. Enter your team members’ email addresses or Trello names. Then, click the Invite button.

Communicating with your team

Communicate within a task using comments, and add a description and attachments to a task to keep all of your important information at hand.
